The University of Edinburgh

ShopWorks delivers improved staff scheduling for The University of Edinburgh ACE department.
About The University of Edinburgh
The University of Edinburgh is the sixth oldest university in the UK. It was granted a royal charter by King James VI in 1582 and officially opened in 1583. It is one of Scotland’s four ancient universities and the sixth-oldest university in continuous operation in the English-speaking world. Today, the University is home to over 45,000 students spread across five campuses around the city.

The challenges

Accommodation, Catering and Events (ACE) is a department within the Corporate Services support group of The University of Edinburgh. Their large catering department needed a system to manage staff scheduling. Their strategic goals are to achieve excellence in all they do and a vision to be ambitious, bold and to act with integrity, to adapt and work in new ways and to deliver positive change.

The Solution

With a workforce of c.250 from across the globe, working across 30 geographical locations, a diverse range of contract types and complex pay rules; ShopWorks has pulled together the management of holidays, scheduling, payroll and overtime processing, Visa limits, etc. under one roof.
“ShopWorks has provided a transparent solution with robust audit trail, a useful dashboard, and a strong reporting suite. Implementation has been smooth.” Rae Conn, Head of Catering Operations, University of Edinburgh

The Result

ShopWorks has provided a transparent solution with a robust audit trail, a useful dashboard and a strong reporting suite. Implementation has been smooth. Given the complex university contract types and pay rules, accuracy in their bespoke payroll exports has taken a bit of time to achieve. It has been, however, time well spent.
As they enter their 4th year with Shopworks, Managers using the back office and employees who use the portal are strong advocates of the system. They are hoping to rollout the ShopWorks solution to other parts of ACE.
